“If you can’t describe what you’re doing as a process, you don’t know what you’re doing.” – Dr. W. Edwards Deming
We are huge on process over here at The Tallest Tulip. A clearly defined process helps our team stay organized and on-track, and helps our clients remain confident that the things that need to happen will happen when they need to.
Complete our Inquiry Form HERE.
This is likely the most important step in working with us. When we receive your inquiry, we will cross check our calendar to make sure we are available for your date. We also input all of the initial information into our database that we use to track every little detail imagineable.
We conduct consultations in person at our studio or over the phone. During our meeting, we’ll get to know one another to make sure we are the right fit to work together! We’ll also visit about your vision and the items you need. Expect to spend anywhere from 30 minutes to an hour with us.
You’ll receive a Pre-Consultation questionnaire to complete before our meeting. This questionnaire helps guide our meeting and ensures that nothing gets missed. It’s very important to complete this form beforehand!
Within 5 business days of our consultation, we’ll provide a detailed proposal itemizing the floral items we’ve discussed during our meeting. This proposal includes a moodboard, item images, and detailed descriptions from our discussions. From the day we send your proposal, we will place a complementary hold on your wedding date for 10 days. During this period, we can review the proposal and make any changes necessary for it to be working document you feel confident about. However, the proposal is our starting place and we have until 3 weeks before your wedding to make changes. We’ll review the proposal again at our 2nd Design Meeting and Final Design meeting, so there is plenty of opportunity to add, remove, or change your mind on things. (More about that below.)
In order to book your date, you will place a 25% deposit. This deposit is applied to your final balance. We will send an invoice that you can use to pay your deposit electronically. You will also need to e-sign our Services Agreement. Once those two things are done, you’re booked!!
*If you do not book within the 10 day complementary hold window, we will move forward with scheduling a consultation with anyone who might be on the waitlist for your wedding date. If there is no one on the waitlist, your date is safe until someone inquires.
Oftentimes, clients book as early as 18 months before their wedding date (the earliest we will schedule a consultation). Because a lot of time passes between the booking date and wedding date, we schedule a 2nd Design Meeting (usually a phone call, but can take place in our studio) around 3 months before your wedding to catch up. We can go over any big picture or detailed changes you’d like to make at this point. Dont worry, though, you still have time to refine details and make changes!
We schedule a Final Design Meeting (also usually a call, but again, can take place in our studio) that must take happen no later 3 weeks before your wedding date. For this call, you’ll need to know your final floorplan, timeline, etc. This is where we cross the t’s and dot the i’s. We’ll cover all of the details necessary to ensure your Big Day goes as smoothly as possible when it comes to your flowers.
Your final payment is due 3 weeks before your wedding. We do not order flowers until the final payment is made. If you prefer to break your payments up over the course of your planning, that is fine! You’d just let us know what you’d like to pay and when, and we can invoice you for progress payments at any point.
Our team will deliver and set-up all floral items and decor rental items provided by The Tallest Tulip. We aim to complete our set-up NO LATER than 1 hour before the ceremony starts. For summer events outdoors, this may be a tighter window. After the event, if you have contracted our team for breakdown, we’ll return to collect rental items and clean up any floral we have provided that you do not wish to keep.
Voilà! Working with us is easy and organized. We can’t wait to partner with you to create a beautiful floral plan for your wedding!
